How to Use the Owner Portal

That’s why we offer a secure, user-friendly owner portal that gives you 24/7 access to your property’s financials, maintenance updates, lease documents, and more. Whether you’re across town or across the country, our portal keeps you connected and informed.

If you’re a current owner working with DFW Rent Houses in Arlington, TX or the surrounding areas, this guide will help you understand how to navigate and get the most out of your owner portal.

Logging Into the Portal

When you first come onboard with us, you’ll receive an email with instructions to create your owner portal account. Simply follow the link to set your password and log in.

Make sure to bookmark the page for future use. If you ever forget your password, just click “Forgot Password” on the login page and follow the prompts to reset it.

Dashboard Overview

Once you’re logged in, you’ll land on the dashboard, which gives you a quick overview of your property’s performance. Here, you’ll see at-a-glance information such as:

  • Current balance and last payment
  • Recent income and expenses
  • Open maintenance requests
  • Notices or alerts from our team

This is your property’s control center, and you can click into each section to view more detail.

Accessing Financial Reports

The owner portal provides real-time financial reporting so you can keep track of how your property is performing. Under the “Reports” or “Statements” tab, you can view:

  • Monthly income and expense statements
  • Year-to-date performance reports
  • Owner draw history
  • Invoices for repairs or services
  • Year-end tax summaries

Downloading Reports

You can download PDFs of each report for your records or share them with your accountant. You’ll also receive automated monthly statements via email, but the portal gives you access to prior months and detailed breakdowns.

Tracking Rent Payments and Owner Disbursements

Under the “Transactions” or “Payments” section, you can monitor all incoming and outgoing funds related to your property.

You’ll be able to see:

  • Tenant rent payments and the date received
  • Management fees and expenses
  • Your owner draw amount and transfer date
  • Any pending transactions or adjustments

This section ensures you always know where your money is—and when you’ll receive it.

Viewing Lease Documents and Property Info

Your portal also stores important documents and lease agreements related to your property. This includes:

  • Executed leases and renewals
  • Inspection reports
  • Vendor invoices
  • Management agreement
  • HOA rules (if applicable)

Under the “Documents” or “Files” section, you can download and review these at any time.

You can also confirm key property details, such as:

  • Address and unit info
  • Lease start and end dates
  • Tenant contact info (view-only)
  • Occupancy status

Monitoring Maintenance Requests

When a tenant submits a maintenance request, you’ll see it logged in your portal. We’ll notify you of any work that exceeds your pre-approved maintenance limit, and you can review the details, status, and vendor notes.

Maintenance section includes:

  • Request date and description
  • Vendor assigned and appointment info
  • Cost estimates and final invoice
  • Before-and-after photos (when available)
  • Status updates (pending, in progress, completed)

This helps you stay in the loop without having to micromanage.

Sending Messages and Notes

Need to send a message to our team? You can use the Messaging or Notes section within your portal to communicate directly with your assigned property manager.

This is a great place to:

  • Ask questions about a charge or report
  • Notify us of changes in your contact or banking info
  • Share special instructions about your property
  • Confirm decisions on large repairs or upgrades

We respond promptly and keep a record of all communication for clarity and accountability.

Updating Your Contact and Banking Info

To ensure you receive owner distributions on time, keep your banking and contact information up to date. You can update:

  • Your mailing address
  • Phone number and email
  • Direct deposit information

Look for the “Profile” or “Settings” tab in your portal, and be sure to save any changes you make.

Using the Portal on Mobile Devices

The owner portal is fully mobile-responsive, meaning you can log in and manage your account from any smartphone or tablet. Many features work just like they do on desktop, so you can:

  • Check financials
